This privacy policy covers JMJ – EA for a Day and The VA Project, both run by Jacqui James. Throughout this policy, “we,” “us,” and “JMJ” refer to Jacqui James trading as JMJ – EA for a Day. It applies to anyone who uses our website, works with us as a client, or joins The VA Project.

We handle your information under the Privacy Act 1988 (Cth) and the Australian Privacy Principles. Where we work with people outside Australia, we also apply the core protections in the GDPR and similar overseas privacy laws, even where Australian law wouldn’t strictly require it.

We’ll update this policy from time to time. The date at the bottom tells you when we last changed it. If a change is significant, we’ll let you know by email.

What we collect

We collect information in a few different ways, depending on how you interact with us.

If you fill out a contact form, you provide your name, email, and phone number. If you sign up for our newsletter or opt in for a resource, you give us your name and email. If you become a client, we collect the business information we need to do the work, which varies by project.

If you join The VA Project, you give us your name, email, and you enter your payment details through ThriveCart (to either Stripe or PayPal, your choice), our course and membership platform. We don’t see or store your card details ourselves. ThriveCart and your preferred payment processor handle that directly.

When you browse the site, we also automatically collect some technical information: your browser type, IP address, time zone, the pages you visit, and what referred you to the site. We call this Device Information, and we collect it through cookies, log files, and similar tracking tools, such as pixels and tags.

How we use it

We use your information to run our business and keep you in the loop. That includes:

Sending you newsletters, blog updates, and product or service news you’ve opted into. Delivering The VA Project content, running your membership, and processing your monthly billing through Stripe or PayPal via ThriveCart. Communicating with you about work we’re doing together as a client. Improving our website and our offerings, based on how people actually use them and the feedback we get. Meeting our legal and accounting obligations through Xero.

We will never sell, rent, or give away your email address or personal details.

How we share it

We don’t sell or trade your information. Full stop.

When we bring in subcontractors to help deliver client work, we share only what they need to do the job, and only once you’ve approved it. Every subcontractor signs a confidentiality agreement before they see anything of yours.

Platforms we use to run the business

We rely on a number of third-party platforms to deliver our services. Here’s what we currently use and what it’s for.

ThriveCart handles VA Project checkout, membership access, and billing. ActiveCampaign manages our email list and automations. Google Workspace and Google Drive store documents and files. Xero handles our accounting. Stripe and PayPal process online payments. Zoom runs our calls. Canva produces graphics. Monday.com manages our content and project calendars. 1Password stores and encrypts login credentials we need to access on your behalf. WordPress runs this website.

Each of these platforms has its own privacy policy, and by using our services you’re also subject to theirs. It’s worth reading them if you want the full picture of how each platform handles data, and worth checking which country each one is based in, since that affects where your data physically sits.

We don’t control how these platforms handle security or privacy on their end, and we’re not liable for a data breach or privacy failure that happens on their systems. We choose platforms we trust and that have solid reputations, but the responsibility for their own conduct sits with them, not us.

Keeping your information secure

We take reasonable steps to protect your information, including up-to-date software, antivirus protection, and firewall protection. Access to client files and systems is limited to the people who actually need it to do the work.

Sensitive information

We don’t ask for or hold sensitive information (health details, for example) unless the law requires it or there’s an immediate risk to someone’s safety that requires it.

Clients sometimes share sensitive information with us as part of their day-to-day business. We may pass certain information to a subcontractor only after you’ve approved it, and only to the extent needed for that specific task. If you’d rather keep a task limited to non-sensitive information, tell us and we’ll scope the work accordingly.

When we need to share passwords for client work, we use an encrypted password manager, not email or text. Get in touch if you want more detail on how that works.

How long we keep it, and how we get rid of it

We keep your information for as long as we need it to provide our services, meet our legal obligations, or resolve disputes.

When a client contract ends, we’ll return or delete any documents and property we’re holding for you within 7 days of your request, or make them available for you to download. You’ll then have 14 days to grab your files before we delete them. We’ll send a reminder 48 hours before deletion. You should also update any passwords for systems we had access to.

If you unsubscribe from our email list, we stop emailing you, and your details are removed from active use in ActiveCampaign in line with their data retention settings.

Your rights

You can ask us at any time what personal information we hold about you, ask us to correct it if it’s wrong, or ask us to delete it. Contact Jacqui directly to make any of these requests, and we’ll respond within a reasonable time, generally within 7 business days.

If you’re in the EU or UK, you also have the right to ask us to restrict how we use your data or to receive a copy of it in a portable format. The same contact process applies.

Cookies

We use cookies to make the site work better for you, remember your preferences, and understand how people use it. You can turn cookies off in your browser settings, but some parts of the site might not work properly if you do. The choice is yours.

Children’s privacy

Our services are aimed at business owners and professionals, not children. We don’t knowingly collect information from anyone under 16. If you believe a child has given us personal information, contact us, and we’ll delete it.

Third-party links

Our website sometimes links to other sites we don’t own or run. If you click through, you’re covered by that site’s privacy policy, not ours. We’re not responsible for how a third-party site handles your information.

From time to time, we share affiliate links to products or services we believe will genuinely help your business. If you buy through one of those links, we may earn a commission, discount, or product in return. Any purchase you make is a transaction between you and that business, not us. We’ll always identify an affiliate link as such.

Complaints

If you have a concern about how we’ve handled your privacy or personal information, contact Jacqui James first here.

We’ll acknowledge your complaint within 24 hours, investigate properly, and get back to you with the outcome.

If you’re not happy with how we’ve handled it, you can take it to the Office of the Australian Information Commissioner (OAIC), the body that actually oversees privacy complaints for Australian businesses.
